Service Update

We continue to provide a full service to our clients across Residential and Commercial Management and Residential Letting however, due to ongoing guidance from the Scottish Government our offices are closed to walk in visitors, this includes clients.    If you require to meet with a member of our team at our offices for any reason this must be by appointment only.

Although our offices are closed to the public you can still contact us by phone, email or via our website or mobile app to report any matters that require attention.  We would also encourage clients to make payments via our online portals if possible.   Our property inspectors continue to carry out site visits, although we are unable to meet clients in person we are happy to arrange digital meetings via the various platforms available, if this is of interest to you, please contact your property inspector to allow us to make the necessary arrangements.

We continue to monitor Guidance and will provide further updates via our website.

Important Information

Speirs Gumley Property Management changed its legal status and with effect from the 5th of May 2020 is now Speirs Gumley Property Management Limited.  This did not involve any change to the controller of the business, which remains wholly owned by Lorraine MacDonald, nor were there any changes to the core business processes for our customers.

Glasgow Fair Bank Holiday

Our office will close on Friday 17 July at 1pm and reopen again for business on Tuesday 21 July at 9am.

If you require a tradesman while our office is closed please call our main number 0141 332 9225 and you will be directed to the appropriate contractor.  Please note that contractors out of hours service is limited to essential emergency visits only.  Please bear in mind that this service is dependent upon contractors available resources which may be reduced at this time due to the Coronavirus outbreak, as well as the ability of the contractor to work safely in compliance with Government guidance.   If you are unable to connect to any of the contractors for any reason please make alternative arrangements and notify us at repairs@speirsgumley.com or call us during normal hours on the next working day.

We are all very encouraged by the ‘downward and sustained trend in new cases of COVID- 19’, and with the move into Phase One of the Four Phase route map out of lockdown.  We at Speirs Gumley continue to provide a full service to our clients across Residential and Commercial Management, and Residential Letting.  Our full Team remain available to deal with your enquiries.  We have been dealing with a steady volume of calls during this period, which suggests that necessary repairs and maintenance is continuing during challenging operating conditions.  Our Lettings Team have also been continuing to progress a number of new business enquires amidst a changing marketplace, with a number of legislative changes to consider too, and this remains encouraging.

We have maintained regular communication with our clients and this engagement has been essential to ensure we have been able to fulfil client requirements during this period.  We have been getting much better at meeting with clients utilising video conferencing facilities, and this has allowed scheduled meetings to continue as planned, and indeed for more meetings to be scheduled and matters dealt with remotely, preventing unnecessary delays.  Experience has shown us that these online meetings can be successful when numbers are relatively low.  This has been a welcome method of communicating with our clients, and we fully intend embracing this format as we move out of lockdown, where circumstances permit.

Our preferred list of contractors are still operating, to provide essential services such as cleaning, gardening, maintenance, repairs and testing.  Some Firms have increased their workforce as we move into Phase One of the route out of lockdown, but they continue to provide their assurance that they are providing these services while complying fully with guidance on the safety and welfare of their workforce and the public.

We will continue to update through our website generally as things continue to develop, however our team will continue writing to our clients with site specific information and, again, we would please encourage you to register your email address with us if you have not already done so to glasgow@speirsgumley.com to help us provide you with regular real-time updates.

We are aware that the Scottish Government are working with employers to develop guidance on safe workplaces and have established working groups across 14 sectors to consider how quickly, and in what manner, we can start to return to work.  Early priorities include the construction sectors and we continue to liaise with industry bodies in relation to when businesses such as roofers, builders, electricians, plumbers, joiners etc will be allowed to fully reopen.  We will continue to provide information to our clients as details become clearer.

In the meantime our preferred list of contractors are still operating, where it is safe to do so, to provide essential services such as cleaning, gardening, maintenance, repairs and testing.  We have had assurances from contractors that they are providing these services while complying with guidance on the safety and welfare of their workforce and the public.

Call Management during Covid-19

We tend to experience higher than normal call volumes at invoice billing periods. Presently, during the Covid-19 lockdown, all calls from our main switchboard are being redirected to staff mobiles who are working from home. This has worked well however we rely on the mobile networks operating efficiently and in some cases there have been dropped/lost calls. To assist us in dealing with your enquiry efficiently it would be helpful if you could email glasgow@speirsgumley.com and we will ensure that your enquiry is redirected and responded to within 48hrs.   If you wish to pay your account we would encourage you to use our online facilities i.e Client Gateway, Website or mobile app.

We are continuing to monitor the advice of Government and making preparations for a return to the office environment when the current lockdown is lifted.  It appears very likely that any post lockdown return will have to embrace a “new normal’ for some considerable time and we have been looking closely at existing working practices within the office to see how these can be adapted in line with new guidance.  Safety of our staff is paramount of course, and we will be taking every sensible step at our disposal, which allows us to continue to function fully as a business.

We have been delighted that our preparations for the remote working of our entire workforce from home have been so successful, which has been vital in ensuring that we could continue to deliver our management service across all departments.  Regular communication with our clients has been a key aspect of this, as has our engagement with contractors to ensure that contracts have continued wherever possible and safe to do so.  We have also embraced new methods of communications such as group video conference meetings with some clients and contractors, which has been well received.  This has given us food for thought for the future with the possibility of evening meetings using this format, where meeting in person isn’t possible.  It seems likely that the entire business community will have to become accustomed to these new ways of working in the post coronavirus era, at least until such time as a vaccine is found for Covid-19.

We appreciate that this has been a particularly worrying time for all of us and we know that there is still a long road ahead before we get back to some sense of normal.  Until that time please be assured that we will be doing our utmost as your agent to look after your property.   If you need to speak with us about any specific maintenance matter or you feel isolated and simply need to have a chat with your property inspector or manager about the services or the general management of your property, please do not hesitate to call us on 0141 332 9225.

service update

As you might expect we have been paying close attention to Government announcements regarding business community and how the current COVID-19 situation affects our service and maintenance contractors that we employ on your behalf.  

We recognised very early into this national crisis that we could not simply ‘switch off’ services for managed developments and as such have not furloughed any of our staff, we continue to work from our homes in a fully operational state to ensure that we can provide a service to our customers, in fact we are busier than ever with the many challenges that COVID -19 brings. Many of the services are essential and critical to the safety and running of buildings and must operate as normally as possible.  We are of course talking of things like; lifts, automatic gates and barriers, access control, landlords electrical supplies, fire safety systems, emergency lighting, smoke controls, water treatments and water pumps, and cleaning to name just some.  We have been in regular communication with many contractors to ensure that their services can be maintained and, where it has not been possible to do so, we have been writing directly to the affected developments.    

Some contractors, particularly grounds maintenance contractors took the decision to furlough staff 3 weeks ago but now appear set to return to operations subject to putting in place appropriate measures to comply with social distancing.  We have had discussions with a number of the large contractors emphasising that they must only do so where they can implement robust measures when travelling to site and handling machinery

Coronavirus – Government Assistance Measures for Business

Following the UK Government’s announcement on 23 March that all ‘non-essential businesses’, should close for a period of at least 3 weeks (and possibly beyond) we acknowledge that this could have a devastating effect on many business owners ability to trade and generate income.  We have summarised below the support measures offered by the UK & Scottish Governments which you may find helpful for your business.  We would encourage our commercial clients to contact our accounts team us if they are struggling to meet rent and service charge invoices and we will work closely with you and your Landlord to help you as much as possible through any difficulties.

UK Government Assistance Measures

  • Coronavirus Job Retention Scheme
  • Deferral of VAT and Income Tax payments
  • Statutory Sick Pay relief package for small and medium sized businesses (SMEs)
  • 12-month business rates holiday for all retail, hospitality, leisure and nursery businesses (England)
  • Small business grant funding of £10,000 for all business in receipt of small business rate relief or rural rate relief
  • Grant funding of £25,000 for retail, hospitality and leisure businesses with property with a rateable value between £15,000 and £51,000 (England)
  • Coronavirus Business Interruption Loan Scheme offering loans of up to £5 million for SMEs through the British Business Bank
  • New lending facility from the Bank of England to help support liquidity among larger firms, helping them bridge coronavirus disruption to their cash flows through loans
  • HMRC Time To Pay Scheme

Scottish Government – Additional Assistance Measures

  • 75% rates relief for retail, hospitality and leisure sectors with a rateable value of less than
  • £69,000 from 1 April 2020
  • £80 million fund to provide grants of at least £3,000 to small businesses in sectors facing
  • the worst economic impact of COVID-19
  • 1.6% rates relief for all properties across Scotland, effectively reversing the planned below
  • inflation uplift in the poundage from 1 April 2020
  • Fixed rates relief of up to £5,000 for all pubs with a rateable value of less than £100,000
  • from 1 April 2020
